The Challenge.

  • Fragmented intake & proposal process: Notes lived in inboxes and docs; proposals took too long to assemble.

  • Manual handoffs: After a deal closed, project setup (folders, tasks, invoices, review spaces) was repetitive and error-prone.

  • Limited visibility: Status lived across tools; the team needed a single rhythm from sales to delivery.

  • Scale pressure: More opportunities + lean team = a system that had to move faster without sacrificing quality.

Our Approach.

We built a unified, automation-first operating system that connects sales, proposals, production, and finance:

  • AI Notetaker (Briefly/meeting recorder): Captures/transcribes sales calls, produces summaries/action items.

  • Structured Intake (Google Forms): A standardized proposal form (deliverables, timelines, tone, budget, key messages).

  • Proposal Drafting (ChatGPT → Better Proposals): Zapier sends intake + call notes to GPT to generate a clean, on-brand draft.

  • Deal → Delivery Automation (Zapier): On signature, automatically creates the Google Drive folder & subfolders, ClickUp project/kanban, Frame.io review space, invoice in accounting, and client onboarding email.

  • Single Source of Truth (Google Sheets/ClickUp): Centralized metadata, tasks per deliverable, and weekly team cadence.

The Solution in Action

  1. From call to proposal in minutes: Sales calls are recorded (with consent) → summary flows into a structured form → GPT produces a proposal draft in Better Proposals, ready for quick QA.

  2. One click after signature: E-sign triggers Zapier to create the client’s Drive structure, a ClickUp project with deliverable tasks (pre-filled with scope, tone, distribution, dates), a Frame.io project for creative reviews, and an invoice.

  3. Clean weekly rhythm: A kanban pipeline (Planning → Brief → Production → Review → Delivery) makes status obvious; team updates and notes are logged on the task itself.

  4. Consistent client experience: Branded confirmations, welcome packets, and next-step checklists go out automatically—no “what happens now?” moments.

Results.

  • Proposal turnaround: hours → minutes (drafts generated automatically from form data + call summaries).

  • Near-zero busywork at handoff: Project setup, folders, boards, review spaces, and invoices are created the moment a deal is signed.
